Summary
Administrative assistant is a detail-oriented and highly organized assistant to support the day-to-day operations of our therapy department. The successful candidate will be responsible for a variety of administrative and operational tasks to ensure smooth workflow and efficient use of resources. This role requires multitasking, proactive communication, and a strong ability to manage both routine and special projects.
Essential Functions/Primary Job Responsibilities
- Audiometer Maintenance: Manage cleaning of audiometers and track calibration schedules.
- Therapist Support: Assist therapists before and after client sessions with material management and cleaning.
- Material Management: Create, clean, organize, and maintain therapy materials, cabinets, and closets.
- Inventory & Supplies: Order supplies and manage inventory for the therapy department.
- Non-Clinical/Schedule Management: Maintain non-clinical therapy schedules and create a coverage calendar for management, both onsite and on-call. Oversee Work Study day-to-day duties.
- Data & Documentation: Prepare clinical folders for therapists, scan, and send report emails. Complete required forms and maintain database spreadsheets
- Staff Coordination: Maintain the essential employee lists and assist in tracking and updating templates and staff schedules.
- Office Administration: Ensure paperwork folders are ready for the front office and prepare office for new hires.
- Meeting & Tracking Support: Keep meeting notes, QA trackers, and departmental lists up to date.
- Other Duties: Perform general office duties and support any other administrative tasks as assigned by management.
- All other duties as assigned.
Minimum Qualifications & Experience:
- High school diploma or equivalent.
- Excellent interpersonal and organizational skills.
- Attention to detail.
- Strong computer skills and proficient in Microsoft Office.
Physical Requirements
Physical requirements: must be able to lift up to 30 pounds, must be able to sit on the floor to interact with young children for extended periods of time, and must be able to move efficiently and quickly from one position to another.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This position is held in an office setting. Regularly using phone, fax and email.
Position Type/Expected Hours of Work
This is a full-time 32 hours a week non-exempt position; Clinic hours and days are Monday – Thursday 8:00 a.m.-6:30 p.m. and Fridays 8:00 a.m. – 2:30 p.m. This role will require available beyond the regular hours of the Center as may be required for special projects and community involvement.
